This is where the fair starts to take shape. Choose the venue, lay out the floor, plan what happens throughout the day, and make sure everyone knows where they need to be.

Place the stands, give each organisation its spot and adjust the layout until it works. Once it’s ready, everyone sees the same plan.

Build the day around what needs to happen, from arrival and setup to sessions, interviews and everything in between. Give each part a time and a place, and set interview times so people can meet without waiting in a queue.
Make sessions for the right people
Some sessions are for candidates, some for recruiters, some for the organisations taking part, and some for everyone. Each person sees the parts of the programme that are relevant to them.

Offer free or paid tickets, decide how many are available and when they go on sale. You can also include specific sessions with particular tickets.

Interviews can be arranged before the fair or added during the day when a conversation leads somewhere. They all appear in the same schedule.

See which interviews are booked, confirmed, completed or missed. Record what came next, including offers and what happened to them.
See the day as it happens
Keep an eye on arrivals, sessions, stands and interviews while there is still time to respond. If something is getting busy, you know before it becomes a problem.
